Finance & Customer Service Executive

Kilgannon & Partner LLP is seeking to find a Finance & Customer Service Executive to join our small and close-knit team. 


Type: Permanent, Monday to Friday - Full Time (but part-time working hours (not days) considered)


Location: Home based.


FTE Salary: £25,000 per annum + benefits.

With several lawyers across the UK, we have grown considerably in our short 6-year existence and have ambitions to grow further over the next 5 years. In order to enable us to do so, we are seeking more administrative support.


At this stage we are looking for a dynamic and approachable individual to work in both our finance and customer services departments, directly supporting both our Finance Manager and Customer Services Manager. In time, we see the role will grow and could become a dedicated support role to either the Finance Manager or Customer Services Manager, with a second person recruited to undertake the remaining support role.


Finance duties

  • Assist and provide holiday cover to the finance manager
  • Reconcile and post bank receipts to the accounting systems
  • Prepare a daily list of client money transfers
  • Cashbook reconciliation
  • Assist clients when making payment to the client bank account

(confirm bank details, provide payment links, process payments by telephone)

  • Review outstanding debts and send payment reminders by email
  • Handle basic accounts queries (via phone and email)


Customer Service Executive duties


As the Customer Service Executive, your day-to-day responsibilities will include: 

  • Handling inbound enquiries (via phone, email and online forms) 
  • Converting enquiries into clients of the firm
  • Setting new clients up on our Practice Management System 
  • Collecting feedback on our work 
  • Be a second point of contact for clients; supporting the Solicitors you support, which included responding to clients should they contact you 
  • Making sure clients receive a FIVE STAR experience 
  • Supporting our social media activities in between calls 
  • Carrying out some administrative work
  • Diary management 


What You’ll Need 

  • Proven customer service experience 
  • Exceptional communication skills (written & verbal) 
  • Ability to remain calm and focused in high pressure situations 
  • Good time management and prioritisation skills 
  • Capable of working quickly without compromising on attention to detail 
  • Ability to forge relationships with customers and fellow team members 
  • Confident telephone manner 
  • Computer literate - good basic understanding of Microsoft Excel is essential, but further training can be provided
